Position Summary: Make a difference in your community and throughout the country by providing administrative support to the Corporate Giving Department, our internal nonprofit Employee Emergency Assistance Fund, and our Meetings and Events Department.


Job Responsibilities: 


Employee Emergency Assistance Fund (Willie Lopez Emergency Assistance Fund) 

•Assist in processing grant applications from employees facing difficult times in their lives.

•Manage approved grants including grant processing, tracking, bill payments, and closure.  

•Develop and execute events to build awareness concerning the Fund and to help generate revenue.  

•Maintain data management system for vendors and grant recipients.  

•Correspond with grant recipients and vendors and administer social service references as necessary.

•Perform miscellaneous tasks and other clerical functions


Corporate Giving

•Support charitable endeavors such as the National Suit Drive, a year-round Merchandise Donation Program 

•Review applications for Merchandise Donation Program

•Respond to inquiries from Customer Relations

•Provide support and encourage volunteerism to stores/employees in regards to donations and match money funds

•Process charitable check requests for all brands and keep database updated

•Assist with all reporting for donations, monitor annual budget and assist with tax preparation documents

•Perform miscellaneous tasks and other clerical functions


Events and Meetings

•Provide administrative support to scheduled meeting and events including 

•Support communication between store management on behalf of community giving and events departments

•Support registration management for on and off-site meetings.

•Coordinate meeting and event logistics including set-up, food and travel.


Skills, Abilities, Experience & Qualifications
Qualifications: 
•Five years of experience working in an administrative assistant position or other position requiring similar skills.
•Ability to maintain strict confidentiality of sensitive information.
•Fluent in Microsoft Office suite of products, especially Word and Excel.
•Proven ability to assist with multiple priority projects.
•Able to work independently and as part of a team.
•Prior experience working in/with nonprofit or charitable endeavors is preferred.
•Ability to maintain a sustained posture in a seated position for prolonged periods of time and operate computer equipment.
•Ability to stand, bend, twist and sit for prolonged periods of time.
•Ability to lift and move objects routinely throughout the day (up to 25 pounds each).

Work Environment, Physical & Mental Demands
•Must be available to work up to 40 hours per week in the Company’s Fremont, CA office.
